Part Time Office Coordinator (Halifax)
Hours: 17.5 Hours per week
Rate of pay: $15, 500.00 per year.
Term: 18 Months (January start date)

The Dalhousie Association of Graduate Students (DAGS) is looking for a high-energy Office Coordinator to support its office. DAGS is an umbrella organization that has serviced and represented graduate students at Dalhousie University for over 30 years; acting as an advocate of graduate students at the local, provincial, and national levels. DAGS is based out of Dalhousie University, Halifax and serves individual members and students societies. This is a unique opportunity to join a team with a fantastic organizational culture.
Position Overview:
DAGS is looking for a part-time Office Coordinator who will be able to hit the ground running in this fast-paced environment. The Office Coordinator is an integral part of this team and will be managing society audit, customer service, and keeping track of expenses for the society. The ideal candidate is organized, tech-savvy, and takes initiative in their work.
Hours
Hours of availability include 17.5 hours between Monday - Friday from 9am - 5pm. Some occasional evening hours may be required, to accommodate the DAGS council meetings schedule. The selected candidate will have an opportunity to schedule their desired work hours, within this timeframe, upon acceptance.

Responsibilities of the Office Coordinator:
- Provide a high level of customer service and hospitality to members
- Reception administrative duties (e.g., mailing, filing, answering phone calls and email,
etc.) - Day to day financial management (e.g., including writing cheques, making deposits,
maintain QuickBooks, etc.) - Communications duties (i.e., maintain the website, social media, and other platforms)
- Perform society audits
- Maintenance of office space
- Assist the DAGS team with daily tasks and projects (e.g., events, advocacy campaigns,
etc) - Attending & taking minutes for DAGS council and general meetings
- Overseeing & handling DAGS common-space bookings
- Assist in the transition of incoming DAGS Board members following elections
- 1+ years of administrative experience working in a fast-paced office environment
- Experience with QuickBooks or analogous software
- Experience with bookkeeping or accounting
- Excellent verbal and written communication skills
- Ability to be proactive and take on responsibilities without direction
- Ability to prioritize and multitask
Preferred Skills/Experience:
- Strong organization skills
- Knowledge of and/or familiarity with working with(in) an anti-oppression framework
- Knowledge and/or familiarity of student movements & the current state of post-
secondary education in Nova Scotia - Experience with communications (e.g. outreach strategies, website development, social
media, etc.).

Volunteer Opporuntities
DAGS is looking for candidates to appoint for committee representatives:
1. Administration Committee
The mandate of the Administration Committee is review the financial and administrative affairs of the Association, as well as approving grants of the Association.
The Administration Committee shall:
a. Prepare an annual budget for presentation to Council;
b. Recommend any budget changes to Council;
c. Set standard operating procedures for human resources and administration within the association;
d. Review applications, develop interview protocol, interview applicants, and nominate an applicant to the position for approval by Council; and
f. Approve applications for grants set out in the proper Policies.
2. Student Life Committee
The mandate of the Student Life Committee shall be to consider matters relating to Societies and the association Student Activities and Events,
The Student Life Committee shall:
a. Advise the Council on society events, and graduate student issues related to
student life;
b. In collaboration with Executive Members, plan and coordinate graduate student events including but not limited to social and professional development events.
3. Academic Committee
The mandate of the Academic Committee shall be to consider matters relating to graduate student issues at the University.
The Academic Committee shall:
a. Advise the Council on graduate student issues related to FGS, Dalhousie University, and DSU and CFS Membership.
4. Governance Committee
The mandate of the Governance Committee shall be to ensure consistency and effectiveness of the Association’s governing documents.
The Governance Committee shall:
a. Review the governing documents annually; and
b. Recommend any changes to the governing documents to the appropriate body.
5. Student Life Committee
The mandate of the Student Life Committee shall be to consider matters relating to Societies and the association Student Activities and Events,
The Student Life Committee shall:
a. Advise the Council on society events, and graduate student issues related to student life;
